Collaborating in GC Forms

To collaborate on a draft:

GC Forms does not have a simultaneous collaboration feature for editing a draft form together at the same time. However, you can now add multiple people to a draft form and edit sequentially, with each person on a form able to take over editing when needed.

  1. Sign in to GC Forms.
  2. In Forms, select the draft form you want to share with colleagues.
  3. In the top menu, select “Share”.
  4. Enter the email address of a colleague to invite them to the form.
    • This must be an individual email address belonging to an employee, not a shared inbox. (Press enter, add a comma, hit space to add multiple emails)
  5. Your colleague will receive an email notification to join you on the form from their account.
  6. Once one of you is editing the form, the other person will be prevented from entering the form until they decide to takeover editing.

Only one person can be actively partaking in work on the form at a given time, whether it be editing, previewing, or modifying settings.

If you prefer to send a separate unlinked copy of the form to a colleague, and not to share ownership, you can download the JSON file in settings and have your colleague re-upload the form file on their account.

To share access to a published form‘s responses:

It is also possible to have multiple people get access to a form once it’s published. This is especially helpful if the responsibility of downloading responses is shared by many colleagues.

To share the responsibility of retrieving responses you download from GC Forms:

  1. Sign in to GC Forms.
  2. Ensure all people involved also have GC Forms accounts.
  3. In Forms, select the published form you want to share access to.
  4. In the top menu select “Share” or in “Responses”, select “Manage access”.
  5. Enter the email address of another GC Forms account within your department or agency to invite them to help you manage responses.
    • This must be an individual email address belonging to an employee, not a shared inbox.
